Please do not submit Social Security numbers, government-identification numbers, complete financial-account information, account passwords, detailed medical records, detailed clinical diagnoses, information about illegal activity, or other highly sensitive documents through the Site's general contact form.

A client intake form should be used only to provide the information specifically requested on that form. Please avoid including more sensitive information than is reasonably necessary.

We do not use the substance of personal inquiries, intake responses, or private client communications for targeted advertising.

The Site and its forms are not monitored continuously and must not be used to request emergency assistance or crisis intervention. We do not make decisions for clients, provide crisis intervention, or use website information to provide medical, legal, financial, or clinical advice.

4. Legal Bases for Processing

Where applicable law requires us to identify a legal basis for processing personal information, we may rely on:

  • Your consent;

  • Taking steps at your request before entering into a client relationship;

  • Performing or administering an agreement with you;

5. Cookies and Analytics

The Site uses cookies and similar technologies.

Cookies are small files placed on a visitor's device that allow a website to function properly, remember certain choices, measure traffic, and understand how visitors interact with the website.

Types of Cookies We May Use

Necessary cookies support essential functions such as website security, navigation, forms, scheduling, checkout, and payment processing.

Functional cookies support optional features and remember certain visitor preferences.

Analytics and performance cookies help us understand how visitors find and use the Site and whether the Site is functioning properly.

We use Squarespace Analytics. Google Analytics may also be enabled on the Site. These providers may collect information about your browser, device, general location, Site activity, and interactions through cookies or similar technologies.

Squarespace's current cookie information is available at:

Cookie Choices

Where available, you may use the Site's cookie banner or cookie-management controls to accept or reject nonessential cookies. You may also adjust your browser settings to block or delete cookies.

Blocking certain cookies may affect the availability or operation of some Site features.

Where applicable law requires consent, nonessential cookies will be restricted until you make a selection through the Site's cookie-management tool. You may change or withdraw your cookie choices at any time by selecting "Manage Cookies" in the Site footer. Changing or withdrawing consent does not affect processing that lawfully occurred before the change

We do not use the substance of personal inquiries, intake responses, or private client communications for targeted advertising. Before adding advertising pixels, marketing cookies, or similar tracking technologies, we will review and update our consent tools and privacy disclosures as appropriate.

Do Not Track Signals

Some browsers offer a "Do Not Track" setting. Because there is not currently a uniform industry standard for responding to traditional Do Not Track signals, the Site may not respond to every such signal.

Where applicable law requires recognition of a legally valid universal opt-out mechanism, we will process the signal as required by applicable law.

Information may be transferred as part of a merger, sale, financing, reorganization, acquisition, transfer of assets, or similar business transaction. Where appropriate, the recipient will be required to handle the information consistently with applicable privacy obligations.

Where required by applicable law, we will provide notice before transferred personal information becomes subject to a materially different privacy policy or is used for a materially different purpose.

With Your Direction or Permission

We may disclose information when you specifically direct or authorize us to do so.

7. Text Messages

If you provide a mobile telephone number and choose to communicate by text message, Pinehurst Personal Confidant may use that number for inquiry responses, appointment scheduling, appointment reminders, client-support communications, and other communications directly related to your requested or contracted services.

We do not sell mobile telephone numbers or text-message consent information. We do not share mobile telephone numbers or text-message consent information with third parties or affiliates for their own marketing or promotional purposes. We may provide limited information to communication providers that process or deliver messages on our behalf.

We will honor reasonable opt-out requests. Message and data rates may apply, and message frequency may vary.

Text messaging is not a completely secure communication method. Please do not send medical records, financial-account information, passwords, Social Security numbers, emergency information, or other highly sensitive information by text message.

Pinehurst Personal Confidant does not sell personal information for money.

We do not currently share personal information for cross-context behavioral advertising or use personal inquiry, intake, or client information for targeted advertising.

Different categories of information may be retained for different periods. When information is no longer reasonably necessary, we may delete, destroy, or anonymize it, subject to technical limitations, backup systems, and applicable legal requirements.

Residual copies of information may remain temporarily in routine backup or disaster-recovery systems until those copies are overwritten or deleted through the provider's normal retention process. Backup information is not intended to be actively used except when reasonably necessary for security, recovery, legal compliance, or business continuity.

10. Data Security

We use reasonable administrative, technical, and physical measures intended to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

These measures may include access controls, passwords, multifactor authentication, reputable technology providers, secured accounts, and limiting access to people or providers with a legitimate need for the information.

However, no website, email system, text-message system, payment system, cloud-storage platform, or method of electronic transmission can be guaranteed to be completely secure. You should use reasonable care when deciding what information to send electronically.

We will not unlawfully discriminate against a person for exercising an applicable privacy right.

12. Client Relationships and Confidentiality

Submitting a contact form, intake form, scheduling request, or payment does not by itself create a Personal Confidant relationship unless and until Pinehurst Personal Confidant and the client complete the required acceptance and agreement process.

This Privacy Policy describes our data-handling practices. It does not replace the confidentiality terms contained in an executed Client Services Agreement or separate Confidentiality Agreement.

Pinehurst Personal Confidant is not a law firm, healthcare provider, mental-health provider, therapy practice, financial adviser, or other licensed professional practice.
